Edit and delete observations
How to fix a captured observation: change risk, swap section, replace photos, or remove the observation entirely.
Capture is intentionally fast. Sometimes that means an observation lands with the wrong section, the wrong risk, a description that needs tightening, or a photo that did not come out. This page covers the edit and delete paths.
Open the edit sheet
Tap the observation card in the middle column of the workbench. The bottom sheet that opens is the same sheet used for capture, but with every field pre-filled. Edit any field. Hit Save.
The card re-renders with the new values. The sync queue carries the change to the server in the background; if you are offline, the queue holds the edit until reconnect.
Change the risk
The risk pills at the top of the sheet behave the same as on capture: tap Low, Medium, or High to change. The change reflects in the report on the next draft.
If you flip a Medium to High after the AI draft has already been generated, regenerate the relevant section paragraph so the narrative reflects the new severity. Risk levels covers the action plan and reporting impact in detail.
Reassign the BS 9792 section
The section dropdown at the bottom of the sheet lets you move an observation between sections. This is common: the AI suggests a section based on the photo, you save the observation, then realise on review that a different section fits better.
Reassigning a section does not invalidate any drafts; the next regenerate picks up the new mapping.
Replace or add photos
Tap the photo thumb in the sheet to attach another photo. Tap the existing photo to remove it. Photos are independent rows in the storage layer, so adding or removing one does not affect the observation's other evidence.
Photos do not get re-classified automatically when added later. If the new photo's category should drive the observation's suggested category, take the picture before saving the observation; otherwise the workbench keeps the existing suggestion.
Replace a voice note
Voice notes are the same: tap the audio control to remove, record a new one. The transcript and the AI-structured fields reset to pending; the new transcript lands when you reconnect.
If you want to keep the original audio but tighten the description or recommended action, just edit those text fields directly. The audio stays untouched.
Delete the observation
The Delete button at the bottom of the sheet removes the observation. The deletion is a soft-delete on the device first (so an offline mistake can be recovered before the queue drains), then a hard delete on the server when the queue replays.
Photos and voice notes attached to the observation are deleted alongside. If you want to keep an observation's evidence but move it to a different observation, use Repeat at... to clone the observation elsewhere first, then delete the original.
A note on offline edits
Edits captured offline queue locally and replay in the order you made them. So if you create an observation, edit it three times, then go online, the server sees the create plus the final edited state, not three intermediate states. The audit trail records the final values, not the keystrokes between.
